Write down the conference dates, visa appointment window, university approval timeline, and funding claim deadline. Academic travel becomes less scary when the calendar is honest.

Keep one folder for passport, visa documents, invitation letter, registration receipt, flight booking, hotel booking, insurance, and supervisor or department approval.

Plan money before booking panic begins

Check whether reimbursement is advance, partial advance, or after travel. If reimbursement comes late, you need a safer spending plan, not heroic optimism.

Compare credit cards, forex cards, and debit card international charges. Verify every benefit on the official issuer website before applying.
